CHARTER / VEHICLE AGREEMENT / TERMS & CONDITIONS

When booking a charter with Fullington Trailways, it is important to review and be aware of all policies to ensure a safe, enjoyable, smooth ride for all. Use the links below to skip to specific topics.

Deposits & Payment

The rates quoted are based on information provided by the client. Any additional stops, parking fees, tolls, permits, route changes, or extended hours will be billed directly to the client upon completion of the trip. All costs incurred in the recovery of any charges unpaid in full will be by the contracting party, these charges may include legal and collection fees. Gratuity is not included in your quoted rate. You may request that your coordinator add a gratuity to be included in the cost of the charter.

10% Deposit Required

A 10% deposit made within 14 days of booking is required for charters unless alternate terms have been established.*

Final Payments Due

Final payments are to be received in our office at least fourteen (14) days before the scheduled departure date (unless other terms have been pre-approved by management.*

Gratuity

A suggested gratuity for the driver is $2 per day per passenger. Gratuities are greatly appreciated and encouraged. Our drivers strive to provide the highest level of service to our passengers.

* Please note that trips that are not paid in full within this time frame are subject to cancellation. Credit card payments are accepted with a nominal convenience fee (non-refundable) per transaction. Cash, Check, ACH, and Wire Payments are also accepted.

Cancellations

Cancellations made less than 14 days prior to departure forfeit deposit.

Cancellations made on-site forfeit the full value of the charter.

Alcohol & Smoking Policy

Alcoholic beverages will not be provided

Trips, which include the use of alcoholic beverages in the vehicle’s passenger area, must be approved prior to departure and require a $200 refundable** deposit. Under no circumstance will alcohol be provided or furnished by Fullington Trailways. All individuals consuming alcohol must be age 21 or older.

**Security deposits are refunded provided that when the vehicle returns to the garage, our maintenance staff does not deem the cleaning process to be excessive. If the security deposit is not refunded, Fullington shall supply documentation to substantiate the withholding. Excessive cleaning fees can range anywhere from $200 to $400.

Alcohol

Fullington drivers reserve the right to intervene if issues arise due to alcohol consumption and, if safety is compromised, may contact local authorities to have the passenger(s) removed from the vehicle.

Smoking

The company policy prohibits smoking, vaping, or the use of any tobacco/marijuana products on the coach at any time.

  • Final Plan

    Detailed itineraries are necessary and should list all stops with adequate addresses, directions, times, and a point of contact for the day of the trip. Charter/Tour itineraries must be in writing to our office at least fourteen (14) days prior to departure. Failure to do so may result in the cancellation of your trip. If the finalized itinerary provided differs from the quoted itinerary pricing is subject to change.

    Driver Hour Limitations

    Itineraries are subject to review by our safety department. Federal Department of Transportation safety regulations prohibits drivers to be on duty for more than fifteen (15) hours per day, ten (10) of which are for driving (including a 30-minute pre- and post-trip vehicle inspection). The driver must be given nine (9) consecutive hours off before he/she may resume his/her duties.

    Itinerary Changes

    Drivers are not permitted to authorize a significant change in the itinerary after the charter/trip has begun. Should such a request be made – drivers are instructed to contact our dispatch team who will decide if the modification can be accommodated. If the request is deemed acceptable, additional charges may apply. The driver(s) will request a signature from the chartering group that will serve as an acknowledgment of the deviations.

  • Fullington offers all products and services to all customers. If an accessible (ADA compliant) vehicle is needed, please let your coordinator know at the time of reservation.

  • Fullington will make every effort to meet customer requests for specific drivers and/or vehicles, however, we cannot guarantee the assignment of requested drivers or vehicles. Fullington reserves the right to substitute appropriately sized vehicles to meet the requirements of the contract.

  • Seating, Safety, and Supervision are top priorities for both you and Fullington. We ask that all passengers remain seated at all times. The total number of passengers cannot exceed the seating capacity of the coach. Charter groups must provide adequate supervision and discipline and are responsible for the conduct of the travelers. For your SAFETY, your driver(s) must devote their full attention to driving. Safety regulations require that the center aisle of the coach be kept clear at all times. Beverage/food coolers should be stored in the rear of the coach or the luggage bays. Glass containers are prohibited.

  • The customer is responsible for reservation and payment of a driver’s hotel room during the duration of a multi-day trip.

  • Amenities

    Amenities on the coach such as DVD players, PA system, 110V outlets*, Wi-Fi*, seat-belts* and restrooms, are provided as a complimentary service to our customer. Should a specific amenity be unavailable or inoperable, Fullington Trailways will not be liable for its availability or performance. The group may bring videos that are P.G. or G-rated.

    *Available on certain vehicles

    Equipment

    The performance described in the confirmation is subject to our providing the equipment and service. In case of mechanical problems or causes of the equipment not being available, the carrier reserves the right to substitute equipment to perform the service with no additional cost to the charter party.

  • Cleanliness

    Cleanliness is both the responsibility of the customer and the driver. Drivers will make every effort to have the vehicle cleaned and washrooms serviced on extended trips. This will be done, if possible, at a time, which will not interfere with the charter/tour plans. At the end of each day or after your trip, please assist the driver by collecting trash left behind. If the vehicle returns to the garage after the trip, and management determines that cleaning over and above the normal process must be performed, an excessive cleaning fee will be applied to the final invoice. The fee is payable upon receipt of the invoice. Fullington reserves the right to require a $200 refundable** security deposit before the trip goes if the client’s previous bookings have resulted in an excessive cleaning fee being applied.

    Damage to the Vehicle

    The cost of any/all damages to the vehicle caused by the charter party will be charged to the charter party by the carrier. This will be in addition to service charges, where applicable.

  • Fullington Trailways will make every effort to maintain the travel schedule you have requested. However, we will not knowingly violate the laws and are not responsible for any delays including, but not limited to, delays caused by acts of nature, the authority of law, accidents, breakdowns, road conditions, or work stoppage, and we cannot guarantee any arrival or departure time. Fullington Trailways is not responsible for any items left, lost, or damaged on the vehicle including, but not limited to, luggage, clothing, jewelry, cash, electronic devices, packages, etc.
